The Bookkeeping & Accounting position is responsible for handling office administrative and accounting duties for management and the business. Job duties include handling day-to-day office tasks, communications and accounting activities. The Accounting & bookkeeping administrative positions require an associate’s degree with a specialization in the field.
The main role of the bookkeeping & accounting assistant is run the day to day activities of the accounting department of a company. The daily activities may include, invoicing, scanning receipts, reconciliation of bank accounts, preparing monthly accounts, updating of excel documents and xero, creating budgets & reporting, calculating billing, preparing checks, calculating billing statements, purchasing items, filing, preparing and submitting tax forms, coding documents, compiling financial records and managing inventory records are also completed.
An accounting administrative assistant needs to be skilled in mathematics, communication, time management and typing. It is also important to have an excellent grasp of English grammar and spelling, work well with others and be detail oriented.

Responsibilities Include
- Balancing Daily, Weekly and Monthly Accounts;
- Processing sales invoices, receipts and payments;
- Completing VAT returns;
- Preparing invoices for the Inland Revenue;
- Checking and reconciling company bank statements;
- Preparing cash flow statements;
- Dealing with financial paperwork and filing;
- Prepare the profit and loss sheets for the annual accounts;
- Purchase supplies and equipment as authorized by management;
- Monitor office supply levels and reorder as necessary;
- Tag and monitor fixed assets;
- Pay supplier invoices in a timely manner;
- Take all reasonable discounts on supplier invoices;
- Pay any debt as it comes due for payment;
- Monitor debt levels and compliance with debt covenants;
- Issue invoices to customers;
- Collect sales taxes from customers and remit them to the government;
- Ensure that receivables are collected promptly;
- Record cash receipts and make bank deposits;
- Conduct a monthly reconciliation of every bank account;
- Conduct periodic reconciliations of all accounts to ensure their accuracy;
- Maintain the petty cash fund;
- Issue financial statements;
- Provide information to the external accountant who creates the company’s financial statements;
- Assemble information for external auditors for the annual audit;
- Calculate and issue financial analysis of the financial statements;
- Maintain an orderly accounting filing system;
- Maintain the chart of accounts;
- Maintain the annual budget;
- Calculate variances from the budget and report significant issues to management;
- Comply with local, state, and federal government reporting requirements;
- Process payroll in a timely manner;
- Provide clerical and administrative support to management as requested.
Requirements
- Minimum 3 year’s experience in Bookkeeping, Accounting, or Finance;
- Outstanding understanding about Indonesian Tax and accounting laws;
- High level English skills in speech and writing; Able to communicate fluently in Indonesian and English language;
- High Level computer and internet knowledge, Office: Word, Excel (Advanced formulas) Accounting software, Mac and PC OS and tools;
- A team player, communicative, detail-oriented, pro-active, transparent and trustworthy;
- Able to handle pressure and have good problem-solving abilities;
- Excellent organizational skills and attention to detail;
- Time-management skills and the ability to work under pressure;
- Passion for Indonesian businesses that create social and environment impact;
- Available outside office hours to provide quick responses on urgent situations;
- To be honest, discreet and trustworthy.
